CANCELLATION POLICY
If a participant cancels their place on a residency
We know that sometimes, due to an emergency, participants may not be able to attend a residency they have signed up to. Sometimes we can offer a refund in this instance, depending on when we receive written notice of the cancellation.
6 months notice or more given: 100% refund of fees due from participant
Between 2 – 6 months notice given: 50% refund of fees due from participant
Less than 2 months notice given: No refund is due
In order to qualify for a full or partial refund, we must receive written notice of cancellation by email or post at least 2 calendar months before the first day of the residency (6 calendar months in the case of a full refund).
Refunds will be calculated on the basis of the fees due from the participant, net of any bursaries awarded.
We’ve put this policy in place as NYAW is required to pay for accommodation, travel and food in advance of the residencies. As with any other trip, you are advised to ensure you have appropriate travel insurance cover for this eventuality.
Cancellations for performance tickets, workshops and auditions
All fees for workshops and auditions are non-refundable once paid.
Performance tickets purchased directly via National Youth Arts Wales are non-refundable except in the event of a cancelled performance.
Performance tickets for National Youth Arts Wales events, but purchased through a third-party box office, are subject to the cancellation policies of the host venue. Please contact us if you’re not sure who to contact in this instance, and we’ll direct you to the relevant box office.
If a residency, workshop or audition is cancelled by NYAW
In the first instance, National Youth Arts Wales will always try to postpone a residency, workshop or audition, rather than cancel it. If this is the case, we will try to inform you as soon as possible of a postponement, and to keep you informed of proposed alternative dates as soon as we are able to.
In the unlikely event that NYAW is forced to cancel a residency, workshop or audition, for any reason, and it is unable to find an alternative date, participants will be entitled to a refund of any fees paid to NYAW up to the point of cancellation.
Refunds may take some time to process but we will endeavour to refund as quickly as we can. Refunds will only be made via the original payment method, and to the account holder who made the payment.
This policy only refers to course, workshop and residency fees paid directly to National Youth Arts Wales. It does not cover any ancillary costs including (but not limited to) pre-booked travel costs, NYAW merchandise, equipment, scripts or costumes, instrument expenses or accommodation booked through a third-party. Participants and parents may wish to ensure that they have valid travel insurance with appropriate cover before booking travel and accommodation through a third-party.
Loss or damage of personal property, including musical instruments
National Youth Arts Wales cannot be held responsible for any loss or damage of personal possessions, including musical instruments. You are strongly advised to ensure that you are appropriately insured against any loss or damage. For musical instruments, this applies whether the participant owns the instrument, or has been loaned a musical instrument by a third-party (such as a brass band).
